Staff & Permissions Tutorial
Managing your employees is essential for maintaining security and smooth operations. This guide explains how to invite staff, assign roles, and manage POS terminal access via PIN codes.
1. Creating a New User
- Go to Settings > User Management in the Admin Dashboard.
- Click + Add User.
- Enter a unique Username and a secure Initial Password.
- Choose the appropriate Access Level (Role):
- Cashier: Can only access the POS Terminal to ring up sales.
- Inventory Staff: Can only access warehouse and stock management tools.
- Manager: Can access reports, product management, and shift approvals.
- Owner: Full business access, including billing and global settings.
- If the user is a Cashier or Inventory Staff, you must assign them to a specific Branch. They will only be able to operate within that branch.
- Click Save.
2. Setting Up Merchant PINs
For Managers and Owners, accessing sensitive areas on the POS Terminal (like issuing refunds or forcing a shift close) requires a Merchant PIN.
- When creating or editing a Manager or Owner account, you will see a Merchant PIN field.
- Enter a secure 6-digit PIN.
- This PIN acts as a quick authorization passcode on the physical POS tablet. Ensure it is kept confidential.
3. Suspending and Removing Users
If an employee leaves the company, you should revoke their access immediately.
- Find the user in the User Management list.
- Click the Edit button (Pencil icon).
- At the top of the modal, toggle the switch from Account Active to Deactivate. This suspends the user without deleting their historical data.
- Alternatively, to permanently remove a user, click the Delete button (Trash icon) in the user list.
