Raw Materials Management Tutorial
This guide explains how to manage raw materials (ingredients), track stock batches, and perform stock adjustments in your POS system.
1. Adding a New Raw Material
- Log in with your account.
- On the sidebar menu, select Catalog & Inventory and click Raw Materials.
- Click the + Add Raw Material button in the top right corner.
- Fill in the basic information:
- Name: Enter the name of the ingredient (e.g., "Flour" or "Coffee Beans").
- Unit: Select the measurement unit (e.g., kg, gram, liter, piece).
- Minimum Stock: Set the minimum amount. The system will alert you when stock falls below this level.
- Status: Toggle to active.
- Click Save Changes to add the material to your inventory list.
2. Receiving Stock Batches
When you purchase new inventory, you need to record it as a batch.
- Go to Catalog & Inventory -> Raw Materials.
- Find the material you want to update and click the + (Plus icon) button to add a stock batch.
- In the Batch Management modal, fill in the details:
- Target Branch: Select which branch is receiving this stock.
- Quantity: Enter the amount received.
- Total Purchase Price: Enter the total cost for this batch.
- Expiry Date: (Optional) Select the expiration date to help track spoilage.
- Click Receive Stock to finalize.
3. Adjusting Stock (Shrinkage / Spoilage)
If ingredients are wasted, expired, or lost, you can adjust the batch quantity.
- Go to Catalog & Inventory -> Raw Materials.
- Click the + (Plus icon) on the relevant material to open the Batch Management modal.
- On the right side, under the Active Batches tab, find the specific batch you want to adjust.
- Click the Adjust button on that batch.
- Enter the New Actual Quantity and the Reason for adjustment (e.g., "Spoiled", "Spilled").
- Click Confirm Adjustment.
4. Viewing Audit Logs (Movements)
- Open the Batch Management modal for a material by clicking the + (Plus icon).
- On the right side, switch from the Active Batches tab to the Audit Logs tab.
- Here you can see a complete history of stock movements, including when batches were received, adjusted, or depleted.
